This article explains how to use the Maintenance feature in the Force Fleet Tracking web dashboard. See Using the Maintenance feature in the Force Fleet Tracking mobile app for the app version.
Force Fleet Tracking now has a maintenance feature that lets you track and manage maintenance for all your fleet vehicles. This includes tracking upcoming services and appointments, uploading service receipts for bookkeeping, and overseeing the cost of servicing your vehicle by showing you the average cost of maintenance visits over time and the cost per mile of servicing the vehicle.
Use the feature from your Force Fleet Tracking web dashboard by tapping SERVICES and then Maintenance.
Fleet vehicles will be listed along with information such as current odometer, service interval, next service, and mileage till service due. Once you input service receipts, you’ll be able to track how much you’ve spent on each vehicle, the average spent per service, and the maintenance cost per mile.
To get started, tap on a vehicle from the list.
Once you're on a vehicle screen:
- Tap Edit to make adjustments to settings such as service frequency. (Note: when a new vehicle is added to Force Fleet Tracking, the service reminder is set at 5,000 miles from the current odometer mileage; this can be adjusted as required.)
- Tap Add Receipt to start recording service visits and upload receipts.
Adding receipts
When adding receipts, you will be asked to provide service details such as service type, merchant, and cost. You can also upload an image or PDF of the receipt for your records.
If there are multiple service types completed during one visit, you can capture that using the Service Type option or add your own using the Note field.
Uploaded images and PDFs can be deleted using the trash can in the bottom corner.
To delete a receipt entry entirely, just tap on Edit Receipt and then DELETE.
To sort services by type, tap Sort & Filter. This allows you to to review specific services such as oil changes.
Managing maintenance notifications
To enable or disable maintenance notifications, tap your user profile (User Name or avatar, top right), then the Preferences tab.
If you want "service due" notifications delivered to your phone, check the box next to Maintenance. Otherwise, leave it unchecked.
