This article explains how to use the Maintenance feature in the Force web dashboard. See Using the Maintenance feature in the Force Fleet Tracking mobile app for the app version.
Force now has a maintenance feature that lets you track and manage maintenance for all your fleet vehicles. This includes tracking upcoming services and appointments, uploading service receipts for bookkeeping, and overseeing the cost of servicing your vehicle by showing you the average cost of maintenance visits over time and the cost per mile of servicing the vehicle.
Use the feature from your Force web dashboard by tapping SERVICES and then Maintenance.
Fleet vehicles will be listed along with information such as current odometer, service interval, next service, and mileage till service due. Once you input service receipts, you’ll be able to track how much you’ve spent on each vehicle, the average spent per service, and the maintenance cost per mile.
How to edit maintenance fields
Navigate to the Services section from the left navigation menu, then select the vehicle you want to configure.
Tap on a vehicle to open the Maintenance Details view for that vehicle. Details include the current odometer reading along with any existing service interval settings.
Tap EDIT to set service interval and/or odometer settings.
Save your settings — the system will automatically calculate the upcoming service due mileage and next service date based on your inputs.
Notes:
- Setting time-based service intervals are not supported at this time
- If you have maintenance reminders set to ON in Alert Settings you will receive alert notifications when the service interval setting is reached.
How to add receipts
When adding receipts, you will be asked to fill out the details of the service visit and, if you wish, to add a receipt image or PDF.
Tap ADD RECEIPT
Upload an image or PDF of the receipt
Select all the service types that apply from the options (oil change, tires, tune up, major service, or other)
Enter the merchant name, odometer reading, service cost, and date.
Add any additional comments in the Note field.
SAVE
If there are multiple service types completed during one visit, you can capture that using the Service Type option or add your own using the Note field.
Uploaded images and PDFs can be deleted using the trash can in the bottom corner.
To delete a receipt entry entirely, just tap on Edit Receipt and then DELETE.
To sort services by type, tap Sort & Filter. This allows you to to review specific services such as oil changes.
Managing maintenance notifications
To enable or disable maintenance notifications, tap your user profile (name or avatar, top right), then Alert Settings.
Tap EDIT (upper right)
Set the Maintenance Reminder to ON or OFF.
You can also tap on Maintenance Reminder itself and set exactly when to get reminders (e.g., only during business hours or after), which vehicles to be alerted for, and how to get notified (SMS, email, push)
